Rules, Regulations and Policies


(All members are subject to these Rules, Regulations and Policies set in place by the Board of Directors. These Rules, Regulations and Policies may be subject to change per Executive agreement. Please direct any inquires to the proper leadership.)


OPEN-DOOR POLICY:

In keeping with TRT’s philosophy of open communications, all TRT members have the right and are encouraged to speak freely with their in squad leadership about their community related concerns. Community related concerns include, but are not limited to, any harassment, discrimination or general clan questions or concerns.

If, after talking with your in-squad leadership, you feel the need for additional discussion, you are encouraged to speak with a member of your divisional leadership and/or a member of Human Resources.

The most important relationship you will develop at TRT will be between you and your leadership. However, should you need support from someone other than your leaders, the entire leadership team and Human Resources is committed to resolving your individual gaming concerns in a timely and appropriate manner.


EQUAL GAMING OPPORTUNITY:

It is the policy of TRT that all member and non-members of TRT be treated in a fair, unbiased manner at all times, and to provide equal opportunities to participate in community event, game-nights, meetings and other activities, within rank requirements. TRT membership of all ranks are not to discriminate on any basis including, but not limited to, race, color, sex, age, religion, national origin, or disability.
It is our intent and desire that equal gaming opportunities will be provided in recruitment, position selection, promotions, demotions, and all other terms and conditions regarding membership. The Board of Executive and all other leadership are committed to these rules and regulations including its enforcement.

Members are required to bring any violation of this policy to the immediate attention of their leadership or a member of Human Resources. Any member who violates this policy or knowingly retaliates against a member(s) reporting or complaining of a violation of this policy shall be subject to immediate disciplinary action, up to and including blacklisting. Complaints brought under this policy will be promptly investigated and handled with due regard for the privacy and respect of all members involved.


HARASSMENT POLICY:

TRT will not tolerate harassment or intimidation of our members on any basis including, but not limited to race, color, sex, age, religion, national origin, handicap, or disability. Harassment is defined as a course of conduct which annoys, threatens, intimidates, alarms, or puts a person in fear of their safety. Harassment is unwanted, unwelcomed and uninvited behavior that demeans, threatens or offends the victim and results in a hostile environment for the victim. Harassing behavior may include, but is not limited to, epithets, derogatory comments or slurs and lewd propositions, any form of assault, impeding or blocking movement, and visual insults, such as derogatory posters or cartoons.


SEXUAL HARASSMENT POLICY:

Any suggestions made to any member that sexual favors will affect any term or condition of membership with TRT will not be tolerated. It is the policy of TRT that any harassment, including acts creating a hostile gaming environment or any other discriminatory acts directed against our members, will result in discipline, up to and including blacklisting. TRT will not tolerate any such harassment of our members by our affiliates.

For purposes of this policy, sexual harassment is defined as any type of sexually-oriented conduct, whether intentional or not, that is unwelcome and has the purpose or effect of creating a gaming environment that is hostile, offensive or coercive. The following are examples of conduct that, depending upon the circumstances, may constitute sexual harassment:

•Unwelcome sexual jokes, language, nicknames, advances or propositions;
•Written or oral abuse of a sexual nature, sexually degrading or vulgar words to describe an individual;
•The display of sexually suggestive objects, pictures, posters or cartoons;
•Unwelcome comments about an individual’s body;
•Asking questions about sexual conduct;

Members are required to bring any violation of this policy to the immediate attention of their leaders or a member of Human Resources. The appropriate TRT leadership will thoroughly investigate all such claims with due regard for the privacy of the members involved. Any member who knowingly retaliates against another member(s) who has reported gaming harassment or discrimination shall be subject to immediate disciplinary action, up to and including blacklisting.


CONFLICT OF INTEREST POLICY AND RELATIONSHIPS SUBJECT TO:

Conflict of interest means that TRT’s interest in securing objective performance of instructional, evaluative, supervisory, or other responsibilities conflicts with the personal interests of the individual carrying out such responsibilities.
Such conflicts of interest arise when an member is:
• Involved in a sexual/romantic relationship with another TRT member whom they supervise, teach or evaluate.
• When a member lives with another member whom they supervise, teach or evaluate, whether or not those individuals are involved in a sexual/romantic relationship
• When an member’s friendship with another member whom they supervise, teach or evaluate, conflicts with the responsibilities of the member.

No TRT member shall engage in a romantic/ sexual relationship with a member who is enrolled in that leaders division, or whom the member supervises or whose work they evaluate, or over whom the member exercises any administrative or disciplinary authority. A member violates this policy and his or her obligation to their members, when such member participates in decisions that may reward or penalize a member with whom the member has, or has had at any time, a romantic/sexual relationship.

No TRT member shall engage in a romantic/ sexual relationship with another member when one of those members supervises or evaluates the other. This means that an officer may not be in a relationship with any member that is beneath them in rank within their specific squad/division. No supervisor may supervise another member with whom that member lives, whether or not the individuals are engaged in a romantic/ sexual relationship. When a member is involved in a relationship with another member they supervise, teach or evaluate, such that a conflict of interest arises, as defined herein, then that relationship shall be subject to the disclosure and management of conflicts provisions of this policy and the personnel may be removed from their position or rank suspended pending investigation.
Regarding personal friendships, all leadership judgements are to be impartial and unbiased. This applies to all TRT leadership and may not be overlooked or dismissed for any reason. Leadership found to be in non-compliance with this policy may be removed from their position or rank suspended pending investigation.


SLANDER/DEFAMATION OF CHARACTER POLICY:

Slander/libel is the oral/written communication of false statements that are harmful to a person’s reputation. If the statements are proven to be true, it is a complete defense to a charge of slander. Slander is an act of communication that causes someone to be shamed, ridiculed, held in contempt, lowered in the estimation of the community, to lose ranking status, or otherwise suffer a damaged reputation. Slander is a subcategory of defamation. The term defamation of character is often used to describe accusations of slander, libel or both. Slander involves verbal derogatory statements, while libel involves written ones. Slander/Defamation of Character is a “No Tolerance” offense and is punishable up to termination

The basic elements of a claim of slander include:
1.) A defamatory statement;
2.) Published to third parties
3.) Which the speaker or publisher knew or should have known was false.


ATTENDANCE:

Each member is important to the overall success of our community’s operational ability. When you are not here, someone else must do your job. Consequently, you are asked to report to gamenights, scheduled events, and meetings at the scheduled time when possible. Reporting to gamenights, scheduled events, and meetings shows initiative and responsibility.

TRT depends on its members to be at gamenights, scheduled events, and meetings at the times and locations scheduled. Excessive absenteeism and/or tardiness could lead to disciplinary action, up to and including removal from the squad tag/division. The removal of excessive absenteeism will be made at the discretion of squad/divisional leadership. Absence from gamenights, scheduled events, and meetings for three consecutive terms without properly notifying your leader will be considered a voluntary resignation of any officer/divisional rank.
This policy also applies to all departments within TRT.


PERFORMANCE EVALUATIONS:

Members may have their conduct, demeanor and membership performance reviewed on regular basis by their superior officers at their leader’s discretion.
All evaluations are to be impartial and unbiased, and are intended to be constructive in nature. The goal is for an evaluation to allow the member to review what they have done, where they are at, and where they are going, and should never be used to negatively criticize or tear down another member.
If a member feels dissatisfied with their evaluator, they have the right to speak with a member of their squad/division leadership.


GAMING VIOLENCE:

TRT believes in maintaining a safe and healthy gaming experience, in part by promoting open, friendly, and supportive gaming relationships among all members. Violence or threats of violence have no place in our organization. Violence is not an effective solution to any problem. You are expected to immediately report to the appropriate leadership in your chain of command, any violation of this policy. Any member found threatening another member, will be subject to disciplinary action, up to and including blacklisted. Any accusation of a member threatening another will be investigated in a timely manner by the TRT IA department and voted on by the TRT Court Judges.


CONFIDENTIAL AND PROPRIETARY INFORMATION:

TRT considers its confidential and proprietary information to be one of its most valuable assets. As a result, members must carefully protect and must not disclose to any third party any confidential or proprietary information belonging to TRT. Such protected information includes, but is not limited to, the following:
• Matters of a technical nature, such as computer software, product sources, product research and designs.
• Matters of a business nature, such as membership lists, membership contact information, associate information, on-site program and support materials, candidate and recruit lists and information, placement information, sales, financial and marketing data, systems, forms, methods, procedures, and analyses, and any other proprietary information, whether communicated orally or in documentary, computerized or other tangible form, concerning TRT’s operations.
If you have any questions about this policy, consult your leader or a member of Human Resources.


RULES OF CONDUCT AND PROGRESSIVE DISCIPLINARY PROCEDURE:

There are reasonable rules of conduct which must be followed in any organization to help a group of people interact together effectively. TRT expects each member to present themselves in a professional manner. If a member is not considerate of others and does not observe reasonable game rules, disciplinary action will be taken.

Depending on the severity or frequency of the disciplinary problems, a verbal reprimand, suspension of rank, disciplinary probation, or termination may be necessary. It is within the TRT Executive Leadership’s sole discretion to select the appropriate disciplinary action to be taken. TRT Executive Leadership reserves the right to terminate any member at its discretion, with or without notice.

The following is not a complete list of offenses for which any member may be subject to discipline, but it is illustrative of those offenses that may result in immediate discipline, up to and including blacklisting, for a single offense:

1. Excessive absenteeism or tardiness.
2. Dishonesty, including falsification of TRT-related documents, or misrepresentation of any fact.
3. Admission of a crime or other conduct which may damage the reputation of TRT
4. Excessive use of profane language while on TRT business.
5. Stealing, misappropriating, or intentionally damaging property belonging to TRT or its customers or members.
6. Unauthorized use of TRT’s or its clients’ name, logo, funds, equipment, or property.
7. Insubordination, including failure to comply with any game assignments or instructions given by any TRT leader with the authority to do so.
8. Violation with any of TRT’s Rules, Regulations or Policies.
9. Interference with the game performance of other members.
10. Failure to cooperate with any internal investigation conducted by members of IA.
11. Failure to maintain the confidentiality of trade secrets or other confidential information belonging to TRT or its customers.
12. Failure to comply with the personnel policies and rules of TRT.


Ranking and Transfer Policies

It is the policy of TRT that proper procedure be followed, according to this policy, regarding promotions, demotions, transfers, fast tracking and suspension of rank.

-Promotions:
No member within the scope of clan operations, with exception of the President of Clan Ops (respective console) and the Executives of TRT, may promote a member more than two ranks within a six day period of time. This policy does apply to ALL clan operation members.

-Demotions:
In order to prevent abuse of authority the following policy has been set for each leadership rank pertaining to demotions.
-General: Can demote a member of clan ops within their squad up to one rank. However they are only able to demote that member once every two weeks. (For example - 1st Captain to a 2nd Captain.)
-Founder: Can demote a member of clan ops in a squad under their supervision up to two ranks. (For example - 1st Captain to a 3nd Captain.)
-Division Leader: Can demote a member of clan ops in their division up to three ranks. (For example – 1st Captain to a 4th Captain.)
-Vice President: Can demote a member of clan ops in a division under their supervision up to four ranks. (For example – 1st Captain to a 1st Lieutenant.) Note that any demotion made by this rank must be reported to the C.C.O. to be reported at the Department Head Meetings.
-Senior Vice President: Can demote members under their supervision up to five ranks. (For example – 1st Captain to a 2nd Lieutenant.) Note that any demotion made by this rank must be reported to the C.C.O. to be reported at the Department Head Meetings.
-President of Clan Ops: Can demote any member within clan ops to any rank (respective console), however this information must be provided to the Board at the annual Department Head Meetings.

Any demotion discussed at the Department Head Meetings must have the appropriate justification or it will be considered invalid and will be denied and undone.

-Transfers:
Squad Transfers – Squad transfers are to be approved by the General of the member and the Founders of the Generals of the squads involved with the transfer. Any member that is transferring squads cannot transfer in above the rank of Staff Sergeant.
Division Transfers – Division transfers are to be approved by the General of the member and passed to the Founder and then to the Division leader. If approved, the Division leader will meet with the other Division Leader involved, who will pass the transfer information down to the General. The transfer must be approved by all leadership involved. Any member that is transferring divisions cannot transfer in above the rank of Sergeant.

-Fast Tracking:
Per the Board of Directors, a member may be fast tracked if they have previously attained the rank of Founder and have been approved by the Board of Directors. In order for a fast track to be approved, the member's divisional leadership must submit the request to their leadership to be passed up the chain of command to the President for submission to the Board of Directors. If a member is approved for fast tracking, they may be promoted once each week, a maximum of 2 ranks. A member may not be fast tracked past the rank of General, except under special approval from the Board of Directors.

-Suspension of Rank:
Regarding squad ranks, any rank suspension must be approved by the Founder over that squad.
Regarding division ranks, any rank suspension must be approved by the Vice President over that division.
Regarding external division ranks, any rank suspension must be approved by the President of Clan Ops.



Leaving and Returning Policy

Any member that chooses to step down from their rank, or leave the community, and does so on good terms, has 24 hours to resume that rank or they forfeit their position. Any member that leaves on bad terms is subject to denial of their previous rank and may be subject to denial in rejoining Clan Operations. Any member attempting to return after a 24 hour period is required to post a rejoin application which will be processed by the appropriate divisional leadership. The Board of Directors exclusively reserves the right to deny re-entry of any member leaving or stepping down from their rank within the 24 hour period, as well as the right to deny any rejoin application at any time.
